Job Description:

Summary:

IJM seeks highly organized Administration Assistants for its Nairobi and Mombasa offices. These positions involve coordinating office events, managing procurement processes, and ensuring the office is well-maintained and supplied.

Responsibilities:

  • Coordinate major procurement processes in adherence to office finance regulations.
  • Procure and manage office stationery and supplies efficiently.
  • Plan and execute office events regularly.
  • Oversee the use and maintenance of common rooms and equipment.
  • Assist in office administrative errands and logistics.
  • Coordinate travel documentation and arrangements for local and international visitors.
  • Process monthly payments for utilities and bills.
  • Provide periodic administration reports to the reporting manager.
  • Perform additional duties as assigned.

Required Skills and Experience:

  • Bachelor’s degree in Administration or Human Resources Management.
  • Certification or qualification in Human Resources is advantageous.
  • Minimum of 5 years’ experience in a busy administration or HR office.
  • Fluency in written and spoken English and Swahili.
  • Proficiency in MS Word, PowerPoint, and Outlook.
  • Strong proficiency in Microsoft Word and Excel.
